Frequently Asked Questions From UK Practice Partners
Detailed, conservative answers to the questions practice partners, directors, and practice managers ask before partnering with Ferret BizServe.
1. Client Relationship & Professional Demarcation
Will Ferret BizServe ever contact our accounting clients directly?
No. We enforce an absolute operational prohibition on direct client communication. All interactions are strictly B2B between Ferret and your UK practice team. If we need clarification regarding an ambiguous transaction, missing receipt, or dividend entry, we document it in a single structured query sheet delivered to your designated manager.
Who signs off the accounts and submits filings to HMRC and Companies House?
Your UK practice retains 100% of professional judgement, final review, and statutory sign-off. Ferret provides production support—compiling lead schedules, posting journals, reconciling control accounts, and drafting statutory disclosures. The qualified UK accountant reviews the working papers, approves the file, and submits the final returns.
Do you work under our practice name (white-label)?
Yes, 100% white-label. Our deliverables—working paper files, lead schedules, trial balances, and draft statutory accounts—are formatted to your firm's branding and indexing conventions. To your clients, the work is produced entirely by your in-house team.
Will Ferret submit VAT returns directly to HMRC?
No. Ferret prepares the VAT lead schedules, verifies coding, reconciles the VAT control account, and prepares the draft VAT return inside your software. We never perform final submission. Your authorized UK personnel conduct the final review and submit via MTD to HMRC.
Does Ferret provide statutory tax advice or complex tax planning?
No. We do not provide tax planning or advisory services. We handle the production calculation of corporation tax provisions, capital allowance schedules, and draft CT600/self-assessment schedules based strictly on standard UK tax rules and your firm’s specific instructions. All technical judgements and advisory positions remain with your UK qualified accountants.
2. Data Security & UK GDPR Compliance
Where is our client data stored?
Ferret operates on a zero-local-storage principle. Our production accountants log directly into your cloud accounting software (e.g., Xero, QuickBooks Online, TaxCalc Cloud) or your practice-hosted remote desktop. Your client financial records remain stored within your authorized cloud infrastructure.
Do your accountants download client data to their local computers?
No. Our company-issued laptops are centrally configured with administrative restrictions that prevent downloading, saving, or exporting client financial records to local drives. External USB mass-storage drives are administratively disabled.
How does Ferret comply with UK GDPR regarding international data transfers?
Accessing UK personal data from India constitutes an international transfer under UK GDPR. We address this transparently by executing a formal Data Processing Agreement (DPA) incorporating the UK International Data Transfer Agreement (IDTA) or UK Addendum approved by the Information Commissioner's Office (ICO). We also provide Transfer Risk Assessment (TRA) documentation to support your firm's compliance files.
Can we restrict access so Ferret can only view specific clients?
Yes. Using the role-based permission settings in your practice software (Xero HQ, QBO Accountant, TaxCalc, or your Document Management System), you control exactly which client files are visible to Ferret personnel. You can grant and revoke access at any time on a file-by-file basis.
What happens if a Ferret production accountant leaves the company?
Our operating model is built around documented standard operating procedures (SOPs) and internal senior oversight. If an accountant leaves, your assigned senior reviewer steps in immediately to maintain workflow continuity while onboarding another qualified production accountant. Immediate credential revocation occurs within 60 minutes.
3. Quality Control & Workflow Operations
Who conducts the internal review at Ferret before work is delivered?
Every assignment is audited by an experienced senior reviewer who has extensive familiarity with UK accounting conventions, FRS 102 1A, FRS 105, and UK VAT legislation. The reviewer checks that balance sheets tie out, suspense accounts are clear, control accounts are reconciled, and queries are documented before the file is released.
How are client queries handled during an assignment?
We do not send ad-hoc, piecemeal emails each time a question arises. Instead, we compile all queries into a single, structured Excel or Google Sheet query schedule. Each item includes the transaction date, amount, description, the specific question, and our proposed default accounting treatment for your sign-off.
What are your standard turnaround times?
For standard monthly bookkeeping and quarterly VAT preparations, our turnaround is typically 3 to 5 business days from receipt of complete records. For year-end accounts and draft statutory production files, standard turnaround is 5 to 7 business days. Accelerated turnaround times can be agreed in advance for urgent backlog situations.
4. Software Capability & Systems Integration
Can Ferret work directly inside our existing Xero or QuickBooks software?
Yes. In fact, this is our preferred operating method. You simply invite our production accountant as a staff member inside your Xero HQ or QuickBooks Online Accountant practice portal, assigning access only to the specific client files you wish us to work on.
Can you work inside TaxCalc Accounts Production?
Yes. Our production team is experienced in mapping trial balances, posting adjusting journals, completing disclosure notes, and generating draft statutory accounts directly inside TaxCalc Cloud Connect or hosted environments.
Can you work inside IRIS Accountancy Suite?
Yes. We can access your IRIS environment via secure remote desktop (RDS), virtual private network (VPN), or hosted private cloud. Our accountants follow your established IRIS chart of accounts and posting conventions.
5. The One-Client Pilot & Commercial Capacity
Can we test your service with just one client file?
Yes. We actively encourage every prospective practice to start with our One-Client Pilot. You select one representative bookkeeping, VAT, or year-end accounts file. We execute the production work, run it through our internal senior review, and deliver the file so you can judge our speed, accuracy, and working paper quality before making any broader commitment.
What happens if the pilot file does not meet our expectations?
If our work falls short of the pre-agreed pilot criteria, we will immediately review your feedback, make the necessary corrections at our own cost, and conduct a transparent debrief. If you feel we are not the right fit for your practice, you may walk away with no ongoing obligation or financial commitment.
Can our capacity allocation increase during the 31 January busy season?
Yes. One of the principal benefits of partnering with Ferret is seasonal scalability. Practices can increase their capacity allocation during peak periods (such as the November–January self-assessment and corporate filing crunch) and scale back down to baseline levels during quieter months.
What if our workload drops—can we reduce capacity later?
Yes. Unlike hiring permanent UK staff where you carry fixed monthly overheads regardless of workload, our commercial models provide genuine operational flexibility. Monthly capacity packages and fixed-job arrangements can be adjusted with reasonable notice as your workflow evolves.
Do you offer a dedicated full-time accountant model?
Yes. For practices with substantial, recurring volume, we provide dedicated offshore production accountants who work exclusively on your firm's portfolio. You can communicate with them daily via Microsoft Teams or Slack, include them in morning stand-ups, and manage their workflow directly, supported by our internal senior QA oversight.
How do we get started?
Simply book a 20-minute Capacity Discovery Call on our website. We will discuss your current software, workload bottlenecks, and scope a single client file for our One-Client Pilot.
